NetSuite can send documents in the correct language and branding automatically, driven by the subsidiary on the transaction, but not with native configuration alone. Native templates support a single language and NetSuite’s automatic label translation does not reliably cover custom business terms or per-line item data. Why native NetSuite falls short
Out of the box, a NetSuite template is single-language, and while NetSuite can translate standard field labels, it does not reliably translate your custom business terms or resolve per-line item descriptions correctly on Advanced PDF templates. So businesses trading cross-border end up maintaining separate templates and relying on staff to choose the right one, which is exactly where mistakes creep in.
Subsidiary-driven template logic
We rebuild the Advanced PDF/HTML templates, which use the Apache FreeMarker language, with conditional logic keyed to the transaction’s subsidiary. Each language gets a complete, independently editable document body, English as the default with French and German variants, so the document renders correctly for the transacting entity automatically. There is no template picker and no manual translation step in the sales or finance process.
Fixing the per-line data problem
A common native limitation is that per-line item descriptions do not resolve correctly in the required language on Advanced PDF templates. We solve this with dedicated per-language custom fields, so line-level content is genuinely localised, not just the headers and labels. This is the difference between a document that looks translated and one that actually is, all the way down to the line items.
Every document type, covered
The automation covers the full set a business actually sends: quotes, sales orders, invoices, credit notes, service reports, despatch notes and commercial invoices. Rebuilding them together, to a consistent standard, means the whole customer-facing document suite behaves the same way, in the right language and branding, without anyone thinking about it.
The result
For the manufacturer we built this for, the outcome was seven document types in three languages, fully automatic, with zero manual translation anywhere in sales or finance. This needs genuine FreeMarker engineering rather than configuration, but once built it simply works, and the risk of a wrong-language document reaching a customer disappears.
